Studio Policies

Last updated:

Couture Pilates is an intentional, boutique environment. These policies protect the experience of every client and the integrity of the studio.

1. YOUR AGREEMENT TO THESE POLICIES

These Studio Policies apply to every client; however a reservation is made, including bookings made through partner fitness networks.

By purchasing a single class, class package, membership, private session, or retail merchandise from Couture Pilates, by participating in any class, private session, workshop, or event at our studio, or by using our website, you confirm that you have read these Studio Policies and agree to be bound by them in full.

IF YOU DO NOT AGREE, DO NOT ACCESS OR USE THE SITE OR THE SERVICES.

These Studio Policies work together with our Terms and Conditions, Privacy Policy, Accessibility Statement, and our Liability Waiver & Release of Claims. Participation in studio programming also requires a completed Client Registration and a signed Liability Waiver & Release of Claims. The Membership Agreement is a separate document that members sign at the time of purchase in the client portal. Where any Couture Pilates document refers to the Membership Agreement, it means that signed document. Section 11 below summarizes its principal terms; the signed Membership Agreement controls.

Nothing in these Studio Policies limits any right you have under applicable law that cannot be waived by agreement.

2. GRIP SOCKS. NO EXCEPTIONS.

Grip socks are required for every class and private session, without exception. Clients who arrive without grip socks will not be permitted to enter the studio floor. Grip socks are available for purchase at our online store and picked up at our studio.

3. 10-MINUTE RULE

For the safety of all participants and out of respect for the class in progress, the studio floor will be locked 10 minutes after the scheduled class start time. Clients who arrive after the studio is locked will not be admitted and will be treated as a no-show. We recommend arriving 5 minutes before class begins.

4. BOOKING AND CLASS MANAGEMENT

All bookings are managed through the WellnessLiving Achieve app and the Couture Pilates branded client portal. After each booking, you will receive a confirmation email with a cancellation link at the bottom, so you can release your spot at any time before the cancellation window closes. Walk-in bookings are accommodated as space permits. Managing your own bookings, cancellations, and waitlist status is your responsibility.

5. WAITLIST

Waitlists are available for all group classes and are free to join. When a spot opens, everyone on the waitlist is notified at once through the app, email, or text, based on your notification settings, and the first person to confirm receives the spot. Waitlist notifications stop one hour before the class start time.

Confirming a waitlist spot books you into the class and deducts a class credit from your pack or membership allocation, or charges the drop-in rate if you have no credit available. Once confirmed, the cancellation policy in Section 6 applies. If you confirm a spot and release it within 30 minutes of booking, no late cancellation or no-show fee applies and your class credit is returned to your account. Because spots are awarded on a first-confirmed basis, occasional simultaneous confirmations may occur; if a booking is confirmed in error, we will correct it and return the credit.

6. CANCELLATION POLICY

Group classes. Classes must be cancelled at least 12 hours before the scheduled start time. Cancellations made within the 12-hour window are considered late cancellations. A late cancellation will result in the forfeiture of the class credit from your pack or membership allocation. Where a booking does not carry a forfeitable class credit, including unlimited memberships, complimentary bookings, and guest passes, a $47 late cancellation and no-show fee is charged to the payment method on file instead. Bookings made through partner fitness networks are governed by that network's own cancellation and fee terms. The waitlist grace period described in Section 5 applies.

Private and semi-private sessions. Private and semi-private sessions require a minimum of 24 hours' notice to cancel. Cancellations within 24 hours will be charged 50% of the session rate. Cancellations within 12 hours, and no-shows, will be charged the full session rate.

7. NO-SHOW POLICY

A no-show is failing to attend a booked session without cancelling it. A no-show results in forfeiture of the class credit from your pack or membership allocation. No-shows for private and semi-private sessions are charged the full session rate as stated in Section 6. The waitlist grace period described in Section 5 applies.

8. CLASS LEVELS AND PROGRESSION

Class descriptions and level recommendations are provided to help you select an appropriate class. They are not guarantees of suitability. For your safety and the experience of the class, Couture Pilates reserves the right to recommend a different class level, or to require a private INTIME session or introductory class, before participation in a given format. Progression is based on skill, not on the number of classes taken. Your instructor makes the final determination.

9. INSTRUCTOR SUBSTITUTION AND SCHEDULE CHANGES

Couture Pilates reserves the right to substitute instructors, and to change the schedule, class formats, and studio hours, at any time and without prior notice. A substitution or schedule change does not entitle a client to a refund or credit.

10. CLASS PACKAGES AND EXPIRATION

New client introductory offers are available to new clients only, are limited to one per person, and expire 60 days from the date of purchase. Class packages expire 6 months from the date of purchase.

Unused class credits do not carry over beyond their expiration date, have no cash value, and cannot be extended, transferred, shared, or refunded unless otherwise stated in writing by Couture Pilates. Expiration dates help us maintain fairness, scheduling consistency, and availability for all clients.

11. MONTHLY MEMBERSHIP TERMS

Memberships are governed by the Membership Agreement you sign at the time of purchase. The following summarizes its principal terms. In the event of any conflict, the signed Membership Agreement controls.

This membership requires a 3-month minimum commitment. Your monthly rate is as stated at the time of purchase. Billing is automatic and recurring on the same date each month. Your membership automatically renews each month and your payment method on file will be charged the membership fee until your membership is cancelled in accordance with these terms. Class credits do not roll over, are nonrefundable, and are nontransferable. One complimentary Guest Pass is included per quarter.

Grip socks are required for all classes. A 12-hour cancellation window applies to all class bookings. A late cancellation or no-show results in forfeiture of the class credit from your membership allocation. Where a booking does not carry a forfeitable class credit, including unlimited memberships and complimentary bookings, a $47 late cancellation and no-show fee applies instead. The waitlist grace period in Section 5 applies. Bookings made through partner fitness networks are governed by that network's own cancellation and fee terms. Medical holds may be available as described in Section 13.

By signing your Membership Agreement, you confirm that you have read and agree to these membership terms and have separately read and signed the Couture Pilates Liability Waiver & Release of Claims. A copy of this agreement and your signed waiver are available in your client portal under Contracts and Waiver.

12. MEMBERSHIP CANCELLATION

To cancel, you must submit written notice at least 30 days before your next billing date. There are four ways to cancel:

  • Through the WellnessLiving Achieve app under Purchases;
  • Through your client portal under Passes and Memberships;
  • By emailing the studio directly at hello@couturepilatesstudio.com; or
  • By delivering written notice to the studio in person.

If your cancellation request is submitted less than 30 days before your next billing date, your membership will remain active, and you will be charged for that billing cycle before the cancellation takes effect.

If you cancel before completing your 3-month minimum commitment, the remaining months of your commitment period are still owed and will be charged in full, regardless of whether you continue attending classes.

Couture Pilates does not issue prorated refunds for early cancellation. All cancellations are processed according to the terms of your membership agreement.

13. MEMBERSHIP PAUSE POLICY

We understand that life can present unexpected circumstances. Couture Pilates offers a membership hold option for members who need a temporary pause in their membership due to qualifying medical reasons.

Qualifying reasons. Membership holds are available for qualifying medical reasons only, including illness, injury, surgery, or recovery that prevents participation in Pilates. Documentation from a licensed healthcare provider is required.

Holds are not available for travel, vacation, or schedule changes. Members who are traveling or temporarily unavailable are encouraged to use their classes upon return or to explore our class pack options.

Pause duration. Memberships may be paused for a minimum of one month and a maximum of two consecutive months per calendar year.

Monthly hold fee. A monthly hold fee applies during the pause period, based on your membership tier:

Membership hold fees
MembershipMonthly Hold Fee
4x per month$10.00 per month
8x per month$20.00 per month
12x per month$30.00 per month

How to request a pause. Submit your request in writing to hello@couturepilatesstudio.com and include your name, membership tier, requested pause start date, reason for the hold, and documentation from a licensed healthcare provider. Studio staff review requests and apply approved holds to your membership; holds cannot be initiated through the app or client portal. Requests must be submitted at least 5 business days prior to your next billing date to take effect for that cycle. Holds are subject to approval. Your membership will automatically resume at the end of the approved hold period.

During a hold. Class credits do not accrue during a hold period, and unused credits from prior cycles remain subject to the no-rollover terms above.

14. REFUND POLICY

All sales are final. Couture Pilates does not offer refunds on class packs, memberships, single classes, private sessions, workshops, events, or any other service or retail purchase, and does not accept returns or exchanges on retail merchandise. Class packs and memberships are nonrefundable and nontransferable. This Section is subject to any refund required by applicable law.

15. AGE REQUIREMENT

Couture Pilates welcomes clients aged 16 and older. Clients between the ages of 16 and 17 must have a parent or legal guardian present at the studio to sign the Minor Participant Addendum on the Liability Waiver in person before the minor's first class. No exceptions will be made.

Purchases through our website may only be made by clients aged 18 and older.

16. STUDIO CONDUCT

Couture Pilates is a distraction-free, intentional environment. All clients are expected to silence their phones, minimize conversation during class, and treat instructors, staff, and fellow clients with respect. Food is not permitted in the studio. Closed water bottles are welcome. Clothing with metal hardware (zippers, buttons) that may damage equipment is not permitted on the reformer.

17. POLICY COMPLIANCE AND TERMINATION

Failure to comply with these Studio Policies, your membership terms, or respectful studio conduct may result in immediate termination of membership privileges at the discretion of Couture Pilates. In such cases, refunds will not be issued.

18. PERSONAL PROPERTY

Couture Pilates is not responsible for the loss, theft, or damage of any personal property brought onto or stored at the studio premises.

19. INJURY AND HEALTH DISCLOSURE

All clients participate in classes at their own risk. Clients must disclose all injuries, conditions, and health concerns on the Client Registration & Health Form and to their instructor before each class. Couture Pilates instructors are trained to provide modifications; however, it is the client's responsibility to communicate any changes in their physical condition.

Clients who are pregnant, recovering from injury, or managing a medical condition should obtain clearance from a physician or licensed healthcare provider before participating, and must notify their instructor of the condition prior to class participation. Couture Pilates reserves the right to recommend private sessions or modifications when necessary for safety and class appropriateness.

20. CLOSED-CIRCUIT VIDEO AND AUDIO RECORDING

Couture Pilates maintains a closed-circuit video and audio recording system that operates 24 hours a day, 7 days a week covering the entrances and studio floor. There are no cameras or microphones in restrooms or changing areas. This system is in place for the safety and security of our clients, team members, and property, and for quality improvement and training.

It is separate from and independent of the media and marketing release provided in the Liability Waiver & Release of Claims. By entering the studio, clients acknowledge and consent to being recorded while present on the premises. Footage is confidential and accessible only to authorized members of ownership and management.

21. CHANGES TO THESE POLICIES

Couture Pilates reserves the right to update these Studio Policies at any time. Clients will be notified of material changes, and the updated policies will be posted on our website with a revised date. Your continued purchase of services or participation in our programming after we post changes means you accept those changes.
